Public HOA profiles and corrections
Public profile search does not require an account. Profiles use community-level public records and are designed to exclude resident, owner, board-member, home-address, and personal-contact data. Sources and coverage limits appear with the profile.
A correction suggestion stores the public profile identifier, issue category, submitted text, and submission time. The form has no name, email, account, or contact field. Do not put private or personal information in it. Suggestions remain separate from the source release and do not directly change a profile.
Private accounts and documents
We process sign-in email and identity, account and access records, saved HOA connections, uploaded documents, extracted values and source evidence, review decisions, and generated analysis to provide and secure private workspaces. Upload only documents you are authorized to provide, and avoid unnecessary personal information.
Private uploads do not edit public profiles. Access to private dashboards follows account permissions. Original-file downloads require verified ownership or authorized administrator access. Authorized administrators may access private data for review and support; administrator access is recorded.
AI processing and service providers
OpenAI processes uploaded PDFs or their extracted text to prepare document analysis. Automatic checks assess extracted values and evidence; values that pass can appear before human review. Our document-analysis requests disable saved AI response history. This does not mean OpenAI retains no data: provider security logging and other retention rules can still apply. See OpenAI’s data controls. Removing a file from HOA Analysis does not itself confirm deletion from provider logs or backups.
Supabase provides account authentication, database storage, and private-file storage. Vercel hosts the application. Google handles authentication if you choose Google sign-in. These providers process the information needed for their part of the service. Operational logs may contain request and security information used for reliability and abuse prevention.
Cookies and browser state
Sign-in and private upload workflows use cookies and browser state to keep your session and associate work with your account. Blocking or clearing them can interrupt sign-in or uploads. Sign out when using a shared device; do not share sign-in links or codes.
Retention, original files, and retained facts
Original-file downloads expire after 90 days from upload. The service queues expired source files for permanent removal. File removal runs separately and can need retries, so an expired download does not mean physical deletion has finished. Keep your own copy of any document you need.
An owner can request earlier removal using “Delete original…” in Your documents. Downloads stop when that request is accepted. The document history distinguishes requested, failed, and completed removal. Original-file removal cannot be undone.
Extracted facts, trends, review and access history, document metadata, and limited supporting source excerpts remain after the original is removed. This retained information can continue to support your private dashboard. Raw processing output is removed or reduced by the source-removal workflow; retained evidence is not a full copy of the original.
Archiving a dashboard preserves its data and does not extend the source-file deadline. Restoring a dashboard does not restore an expired or deleted original. Removing a saved public profile does not delete public records.
The 90-day source-file rule does not set a deletion deadline for accounts, retained analysis, correction suggestions, security records, or provider backups. The app has no automatic full-account deletion or complete data-export control. Use the account and data request path to ask about access, export, deletion, or retention limits.
